2. The scope of this notice
Personal information means information that identifies someone or can reasonably be connected with an identifiable person. Business contact information can be personal information even when it is used in a professional setting. An organization's general processes or anonymous statistics are not necessarily personal information, but a document describing those processes may also identify employees or customers.
This notice concerns information handled for RelayOne's own business purposes. If an engagement involves processing personal information solely on a client's instructions, the relevant service agreement and any applicable data-processing agreement govern that activity alongside applicable law. This notice does not replace those agreements or authorize a client to disclose information that the client is not entitled to share.
3. Information you provide
When you contact us, we receive the information you choose to include, such as your name, email address, business name, role, inquiry, and preferred way to be contacted. A consultation request may also contain your time zone, scheduling preferences, the service you are considering, and a description of the business issue you would like to discuss. Please keep initial inquiries focused on the information needed to understand your request.
During an engagement, you may provide project briefs, workflow descriptions, communication examples, meeting correspondence, feedback, and documents relevant to the agreed work. These materials can contain information about other people. Before sharing them, consider whether names, contact details, account numbers, or unrelated personal content can be removed. An anonymized example is often sufficient to explain a communication or operational problem.
4. Purchase and payment information
Card payments are processed through Stripe where that payment option is offered. Information connected with a purchase can include the purchaser's contact and billing details, the service ordered, the amount and currency, payment status, transaction references, and refund or dispute records. We use the information available to us to associate a payment with the correct engagement and respond to payment-related questions.
Enter card information only through the designated payment interface. Do not send full card numbers, security codes, banking passwords, or authentication codes in an email, inquiry, attachment, or consultation message. Stripe's handling of information depends on the payment service used and its role in the transaction. Stripe provides its own privacy information at https://stripe.com/privacy. This notice does not describe every practice of Stripe or your card issuer.
5. Technical information and online interactions
Accessing a website or payment service involves technical communications between your device and the systems delivering that service. Information involved can include an internet address, browser characteristics, request time, requested page, and technical error information. The information involved in a particular interaction depends on the service and features you use. Cookie-related information is addressed separately in our Cookie Notice.
An external service may receive information when you follow its link, open its payment page, or use a feature that it provides. Its processing is subject to its own role and privacy terms. A link to an external provider does not mean that every feature offered by that provider is enabled on RelayOne's website. Please review notices presented at the point where you choose to use an external service.
6. Why information is used
We use inquiry and contact information to understand requests, answer questions, discuss suitable services, and communicate about possible engagements. Scheduling information helps arrange virtual consultations across time zones. Project information supports the agreed consulting work, including understanding existing processes, discussing options, preparing recommendations, and responding to feedback about the deliverables.
Purchase and engagement records support payment administration, bookkeeping, service delivery, complaint handling, and the resolution of billing questions. Information may also be needed to identify misuse, investigate a suspected security issue, establish or defend legal claims, and meet obligations imposed by applicable law. A request for one service does not by itself authorize an unrelated use of the personal information supplied with that request.
7. Legal grounds where required
Where applicable law requires a legal ground for processing, the ground depends on the activity. Handling an individual's service request or performing a contract with that individual may be necessary for a contract or requested pre-contract steps. Keeping records required by law relies on the relevant legal obligation. Some administrative, security, and business-contact activities may rely on legitimate interests where those interests are not overridden by the person's rights.
Where consent is required for an activity, it must be obtained for that activity. Consent to an optional use is separate from agreeing to purchase a service. You can withdraw consent for future processing that relies on it, without affecting the lawfulness of processing before withdrawal. Withdrawal does not require the deletion of information that must still be kept or used on a different lawful ground, such as an applicable recordkeeping obligation.
8. Information about other people
If you communicate for an organization, please provide accurate business contact details and make sure you have authority to provide any project information you share. You should not upload an entire customer list or employee file merely to illustrate an issue that could be explained through an anonymous example. Confidentiality within an engagement does not remove the need for a lawful basis to disclose personal information.
If the intended work requires access to identifiable customer or employee records, raise that requirement before transferring the records. The parties should establish the scope, respective responsibilities, permitted purposes, and suitable handling arrangements. Information about health, financial accounts, government identification, or other sensitive matters should not be included in routine inquiries unless specifically necessary and appropriately arranged.
9. Disclosure to others
Delivering an online service can involve providers that support communication, payment processing, website operation, or other necessary business functions. Information disclosed for a particular function should be relevant to that function. A payment provider, for example, needs transaction information, while a person participating in a consultation may need the meeting details and the material being discussed.
Information may also be disclosed where required by a valid legal obligation, or where law permits disclosure to address fraud, protect rights, or resolve a legal dispute. Professional advisers may receive information relevant to the advice they provide. This paragraph does not authorize unrestricted disclosure of client materials. Applicable confidentiality commitments, data-protection obligations, and the circumstances of the request continue to govern what can be shared.
10. International handling
RelayOne is a United States business serving clients in different countries. Communicating with us or receiving our services can involve sending information to the United States. A provider involved in an interaction may also process information in other locations under its own arrangements. Privacy protections and available rights can differ between jurisdictions.
Where applicable law requires a specific safeguard for an international transfer, that safeguard must be addressed before relying on the transfer. This notice does not claim participation in a certification framework or the existence of a particular transfer contract. You can contact us about the handling of information in your engagement and request information about any safeguards relevant to a transfer of your personal information.
11. Retention
The appropriate retention period depends on why information was collected, whether an inquiry becomes an engagement, the status of the work, and applicable legal requirements. Relevant considerations include the need to complete the service, maintain accurate transaction records, answer a complaint, resolve a dispute, and comply with accounting or other recordkeeping obligations. Different categories of information can therefore have different retention needs.
We do not state a single retention period for every record. You may ask about the retention criteria relevant to your information or request deletion where the law provides that right. A deletion request may need to be considered alongside an outstanding engagement, a legal duty to retain records, or the establishment or defense of a claim. Information should not be retained merely because storage is available.
12. Security and confidential communications
Appropriate protection depends on the type of information, the purpose of processing, and the risks involved. No website, email service, or electronic transmission can be guaranteed free from every security risk. Please use particular care when deciding what to include in messages or documents and when choosing who should receive a meeting invitation or a copy of a deliverable.
If you believe that information sent to RelayOne has been disclosed to the wrong recipient or affected by an account compromise, contact us with the relevant context. Do not reproduce sensitive material unnecessarily in a security report. Include enough information to identify the affected interaction, such as the approximate date and the communication involved, and explain how we can contact you about the concern.
13. Your privacy rights
Depending on the law applicable to your information, you may have rights to access it, obtain a copy, correct inaccuracies, request deletion, restrict certain processing, object to processing, or receive certain information in a portable format. Some rights apply only in particular circumstances. A request can also involve the rights of other people, confidentiality obligations, or records that the law requires to be maintained.

We may need proportionate information to verify your identity or the authority of someone acting for you. Please do not send identification documents unless they are requested for an appropriate verification purpose. We will handle applicable rights requests within the period required by the relevant law.
14. Objections, consent, and complaints
Where you have a right to object to processing based on legitimate interests, explain the processing concerned and any circumstances relevant to your objection. Where processing relies on consent, identify the activity for which you wish to withdraw consent. These requests are different from canceling a consultation or requesting a payment refund, which are addressed through our service and cancellation information.
You may complain to a competent privacy or data-protection authority where applicable law gives you that right. You do not have to give up that right by contacting us first. If you choose to raise a concern directly, please explain the information involved and the issue you want addressed. We can more effectively assess a concern when the relevant interaction is identifiable without collecting unnecessary additional personal information.
15. Updates and contact
Changes to the services, providers, or legal requirements may require changes to this notice. A revised notice applies according to its terms and applicable law; publishing a revision does not retroactively create consent for a use that required consent. Where the law requires a particular notice of a material change, that requirement remains applicable. You may retain a copy of the notice relevant to your interaction for your own records.
